Manage Files in an Application

Use the Files page in Application settings to upload and manage files associated with an Application.

Depending on your permissions, you can upload, view, download, rename, and delete files. Files are scoped to an individual Application.

Access and permissions

Your Application role determines which actions you can perform:

  • Read documents. View and download files.

  • Manage documents. Upload, rename and delete files.

By default, both permissions are granted to Workspace Admins. These permissions can be configured for other Application roles.

Access files in an Application

To access files:

  1. Open the Application.

  2. Select Settings.

  3. Select Files.

The Files page displays the files stored in the Application, including:

  • File name. The name of the file.

  • File type and size. The size and type of file.

  • Uploaded at. The date and time of the upload.

  • Uploaded by. The user who uploaded the file.

You can search for files by name or filter the list by File type and Uploaded by.

ℹ️ Note

File uploads, downloads, renames and deletions are recorded in the Application's History and Workspace audit logs. For more information, see View and Track Application Update History.

Upload a file

You need the Manage documents permission to upload files.

To upload a file:

  1. From the Files page, select Upload.

  2. Select the file you want to upload.

  3. Enter a name for the file. By default, the original filename is used. If a file with the same name already exists, a numerical suffix, such as (1), is automatically added to the filename upon upload.

  4. Select Upload to confirm.

⚠️ Important

  • The maximum file size is determined by your organization’s file upload size limit. The default limit is 500 MB.

  • Some file types are restricted for security reasons.

  • If your Workspace has reached its file storage limit, you can’t upload additional files. For more information, see Manage File Storage Limits.

Download a file

You need the Read documents permission to download files.

To download a file:

  1. Go to the file on the Files page.

  2. Hover over the file and select Download.

To download multiple files at once, select the checkbox next to File Name to select all files, or select the individual files you want to download. Then select Download.

Rename a file

You need Manage documents permission to rename files.

To rename a file:

  1. Go to the file on the Files page.

  2. Select the three-dot menu next to the file.

  3. Select Rename.

  4. Enter a new name. File names must be unique within the Application. If another file already uses the name, enter a different name.

  5. Select Save.

Delete a file

You need the Manage documents permission to delete files.

To delete a file:

  1. Go to the file on the Files page.

  2. Select the three-dot menu next to the file.

  3. Select Delete.

  4. Select Delete to confirm.

To delete multiple files at once, select the checkbox next to File Name to select all files, or select the individual files you want to delete. Then select Delete then Delete files to confirm.

🛡️Warning

Deleting a file permanently removes it and frees file storage in your Workspace. Deleted files can be recovered using Application recovery.
