Files in Pigment

Files let you store and manage documents directly within an Application. Depending on your permissions, you can upload, view, download, rename, and delete files.

This article explains how Members can work with files and send them to AI Chats.

Before you begin

Access and Permissions

Work with files

With Read files permission you can view and download files as follows:

  1. In your Application, select Files in the left sidebar above your Application name.

  2. In the panel that opens, you can view all the files uploaded to this Workspace, grouped by Application.

  3. To download a file, hover over it, and select Download from the three-dot menu that appears.

With Manage files permission you can also:

  • Upload files from here. Select + Upload new files at the bottom of the panel.

  • Perform the following additional tasks on files in step 3 of the above flow:

    • Rename

    • Delete

The panel shows all the files uploaded to the current Workspace. However, you may have Read files permission in some Applications in your Workspace, and Manage files permission in others. As a result, the ability to view or manage files as described above varies according to your permissions in each Application.

Use files in AI Chats

You can choose to allow Pigment Agents to read from everything you store in Files, and you can send files to AI Chats individually. Files must meet the criteria for files attached to AI Chats. For more information, see Attach files to AI Chats.

Allow Agents general access to Files

The files you store in Files can be made visible to the Agents, so long as they pass the automatic security check and comply with the other criteria. Any file that does not meet the criteria appears in Files but is not able to be read by the Agent. You can ask it to list and give context on files that it cannot read.

To allow Agents general read access to Files (requires Security Admin or Primary Owner account types):

  1. In your Application, open Settings, the three-dot menu at the bottom of the left sidebar.

  2. Select Security.

  3. Under AI data access, select Activate by Enable AI Agents access to Application Files.

  4. Select Activate in the confirmation pop-up that follows (see Important note below).

⚠️ Important

  • This action is permanent and cannot be reversed. It lets Agents perform indexing and semantic searches on all files uploaded to Pigment.

  • To stop Agents having this access, switch it off at Application level:

    1. Open Settings as above and select Files.

    2. At the top of the main pane, select the slider symbol by AI access: Enabled (see below).

    3. Select Disable.

Send files to AI Chats individually

To send files to AI Chats individually:

  1. In your Application, select Files in the left sidebar above your Application name.

  2. In the panel that opens, hover over the file you want to send. Select Add to AI chat.

File storage

The assets stored in Files contribute to your file storage. For more information, see Manage File storage limits.
