In any Block, such as a List, Metric, or Table, a View lets you control how your data is displayed.

Each View presents information in a different way, making it easier to interpret and interact with. Depending on your needs, this can include grid layouts for structured data, chart formats for trends, or KPI displays for key Metrics. Choosing the right View helps ensure your data is presented effectively for your needs.

What can you customize in a View?

You can customize your Views to suit your organisational needs using:

  • Formatting and styling can be applied including the font style, the value display format, and colors for headers or specific cells.

  • Conditional Formatting can be used to color cells based on data values.

  • Totals can be added using the aggregator panels.

  • Filtering can be used to remove Items from View.

  • Pivot can adjust where Dimensions are located in columns, rows or Page Selectors.

  • Sort can be used to change the order of Items depending on their values.

View limits

When you’re editing a View, you need to consider the limits on how many pages, rows, and columns you can add to it.

The maximum values are listed below:

  • 30 Dimensions in pages: applicable for Lists, Metrics, and Tables.

  • 20 Dimensions in columns: applicable for Metrics and Tables.

  • 20 Dimensions in rows: applicable for Metrics and Tables.

  • 300 Properties in a List

  • 500 Metrics in a Table

Find and filter Views

  1. Open the required List, Metric, or Table.

  2. Select View in the top left corner under the Block name.

    The name of the View is displayed next to three horizontal lines.

  3. (Optional) Switch between public and personal Views.

  4. (Optional) Use the Search bar and Filter to find a specific View.

About public and personal Views

When you open the View panel, you’ll see two categories of Views: public and personal.

  • Public Views. Members with the Configure Public View permission can create and save public Views in a Block. These Views are available to all Members who have access to that Block. When a Block is copied, its Public Views can also be duplicated. Public Views are the only ones that can be published to a Board.

  • Personal Views. Any Member can create personal Views without special permissions. These are only accessible within the Block and cannot be used or generated on a Board. When a Member doesn't have the Block Explorer permission to do this from a Block, they must expand a widget on Board to create a personal View.

From the View panel, public Views can be seen by all Members. However, personal Views are only visible to the Member who created them. When a personal View is shared using Copy link, it appears in the recipient’s personal View panel but disappears when they refresh the page or leave the View panel. To keep the shared View, the recipient needs to make a copy of it.

Save a public View

⚠️ Important

To save a public View, a Member needs the Configure Public Views permission. All other Members can create personal Views directly within a Block. For more information on permissions, see Pigment Security Basics.

When working with public Views, if you navigate away from a Board with unsaved changes, a confirmation message appears. You can stay on the page, leave and discard your changes, or leave and keep them as drafts.

If multiple Views have unsaved changes, the message shows how many are affected. Each View is saved as a separate draft, but your choice applies to all of them.

⚠️ Important

Drafts are kept for 72 hours.

Share a saved personal View

  1. In your Block, select View.

  2. Select the three dots next to the View you want to share.

  3. Select Copy link.
    A link to the View is copied to the clipboard. Link recipients will be able to see the saved configuration but won't see the View in their own View Panel

🛡️ Warning

  • Personal Views are not a security feature. When sending a personal View using the Copy Link option, other Members can save any changes to that personal View.

  • Personal Views are discoverable and editable even if a link is not shared. We recommend that Members duplicate shared Views if they need their own version.

    For example, when a Member saves a personal View and sends it to another Member using Copy Link, any changes made by the recipient are saved directly to the original personal View unless they duplicate it before editing. These changes will overwrite the sender’s personal View.

Set a default View

Blocks always open on the default View. Users with the Configure Blocks and Configure Views permissions can set a default View.

  1. In the View panel, select the three dots next to a View.

  2. Select Set as default View.

You also have a few other options in this menu.

  • Save. Creates a new View based on the changes you made. This is available only after a change is made.

  • Rename View. Renames a View. This does not affect a View if it’s referenced elsewhere.

  • Edit description. Adjusts the description displayed when Members hover over a View.

  • Duplicate View. Creates a copy of the current View. If a Member does not have Configure Public View permission, then this option appears as Duplicate View as personal View.

  • Copy link. Copies a link that can be sent to other Members to access that View. This is not available if there are unsaved changes.

  • Add to Library. Adds the View to the Library.

  • Delete View. Deletes a View. This is unavailable only if there are unsaved changes.

Add a new View

Members with Configure Public View permissions can choose between a public or personal View. All other Members default to personal Views, this can’t be changed.

  1. Go to the View panel.

  2. Select + New View at the bottom of the View panel.

Add a View to a Board

You can publish a public View on a Board directly from a Block.

  1. Save all changes to your View.

  2. Select the arrow next to Save View.

  3. Select Add to Board.
    If you want, you can create a new Board from this menu.

  4. (Optional) Open the selected Board to adjust the position and size of the View on the Board.

Make a View available in other Applications

You can add a single View from a Block to the Library using the View panel. This allows you to use it in other Applications.
