Manage Snapshots in a Workspace

The Snapshots page provides an overview of Snapshots across all Applications in your Workspace. Use this page to review Snapshot usage, find individual Snapshots, create new Snapshots and manage existing ones without opening Applications individually.

Access and permissions

The Snapshots page is available to Members who have Display Application permission for at least one Application in the Workspace.

Workspace totals include Snapshots associated with Applications you can’t access, but details about those Applications are restricted. The actions available to you depend on your account type, Application access and ownership.

Open the Snapshots page

To open the Workspace-level Snapshots page:

  1. Open your Workspace.

  2. From the sidebar, select Snapshots.

Understand the Snapshots page

Snapshot Usage

The summary cards at the top of the page display:

  • Total Snapshots. The total number of Snapshots in the Workspace.

  • Scheduled Snapshots. The total number of Snapshots scheduled for creation in the Workspace. When applicable, the card also displays when the next Snapshot is scheduled.

  • Storage usage. Snapshot usage relative to your Workspace limit. To review detailed usage and limits, select View details. For more information about populated cell usage, see Manage Workspace Storage.

Snapshot List

The Snapshot list displays one row for each Snapshot, including:

  • Name, populated-cell usage and Scenarios. The Snapshot name, the number of populated cells it contains and the Scenarios included in the Snapshot.

  • Applications included in the Snapshot. When a Snapshot includes multiple Applications, the column displays the total number of Applications in the Snapshot. Hover over this number to view their names.

  • Date and status. The creation date for completed Snapshots or the scheduled date and Scheduled status for upcoming Snapshots.

  • Taken by. The Member who created the Snapshot.

Find and filter Snapshots

Use Find a Snapshot to search for a Snapshot by name. Use the filters above the Snapshot list to narrow the results by:

  • Applications

  • Created on

  • Visibility

  • Taken by

You can combine filters to refine the list further. Clear the active filters to display all Snapshots again.

ℹ️ Note

Filters apply only to the Snapshot list. They don’t affect the totals displayed in the summary cards.

Create a Snapshot

To create a Snapshot from the Snapshots page:

  1. Select + Create a Snapshot.

  2. Enter a unique name for the Snapshot.

  3. Select the Applications to include.

  4. (Optional) If Scenarios are activated for the selected Applications, select the Scenarios to include.

  5. Choose whether to create the Snapshot immediately or schedule it for later.

  6. Review the Snapshot configuration.

  7. Select Create Snapshot.

If your Workspace reaches its Snapshot limit, + Create a Snapshot becomes unavailable.  

Review your usage or delete unnecessary Snapshots before trying again. For more information about Snapshot creation, see Application Snapshots.

Open a Snapshot

To open a Snapshot:

  1. Find the Snapshot in the list.

  2. Hover over the Snapshot.

  3. Select Open.

Manage a Snapshot

To manage a completed Snapshot:

  1. Hover over the Snapshot.

  2. Open the three-dot menu.

  3. Select an action:

    • Rename Snapshot to enter a new name.

    • Delete Snapshot to remove the Snapshot.

    • Hide Snapshot or Show Snapshot to control whether a Snapshot that includes Scenarios appears in the Scenario Selector when comparing it with the Live Application.

Cancel a scheduled Snapshot

To cancel a scheduled Snapshot, hover over it and select Cancel.

Manage multiple Snapshots

To delete, hide or show multiple Snapshots:

  1. Select the checkbox next to each Snapshot you want to manage. To select all listed Snapshots, select the checkbox next to Name.

  2. Select the appropriate action from the bulk action toolbar.

🛡️ Warning

Deleting a Snapshot permanently deletes all of its data.

⚠️ Important

You can’t hide Snapshots in bulk when your selection includes both a Snapshot that contains a Scenario and one that does not.
